FixReminder ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our property maintenance scheduling service.

2. Information We Collect

Personal Information

We may collect the following personal information:

  • Email address
  • Phone number (if you opt in to SMS notifications on Pro-20+ plans)
  • Payment information (processed securely by Stripe)
  • Property and unit information you provide

SMS-Specific Information (Pro-20+ Plans)

If you opt in to SMS notifications by providing your phone number:

  • Phone Number: Collected when you add your phone number in Settings and verify it with a code
  • Opt-in Timestamp: When you consented to receive SMS messages
  • Message Delivery Data: Sent via Twilio, including delivery status and timestamps
  • Inbound SMS: If you reply to our messages (STOP, HELP, or other responses), we log your reply for opt-out processing and support
  • Verification Code: Temporarily stored (10 minutes) to verify phone ownership

Third-Party SMS Provider: We use Twilio to send SMS messages. Twilio's processing of your phone number and messages is governed by Twilio's Privacy Policy.

Usage Information

We automatically collect:

  • Log data (IP address, browser type, pages visited)
  • Device information
  • Usage patterns within the Service
  • Analytics data via Google Analytics (page views, session duration, traffic sources, general geographic region)

3. How We Use Your Information

We use your information to:

  • Provide and maintain the Service
  • Send maintenance reminders via email and/or SMS
  • Process payments and manage subscriptions
  • Communicate with you about updates and support
  • Improve and personalize the Service
  • Comply with legal obligations

4. Information Sharing

We may share your information with:

  • Service Providers: Third parties that help us operate the Service (e.g., Stripe for payments, Twilio for SMS, Resend for email)
  • Legal Requirements: When required by law or to protect our rights
  • Business Transfers: In connection with a merger, acquisition, or sale of assets

We do not sell your personal information to third parties.

SMS/Text Messaging Opt-In Data: No mobile information, including phone numbers and text messaging consent data, will be shared with or sold to third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent will only be used to deliver the SMS notifications you have requested and will not be shared with any third parties, except as required to deliver those messages (e.g., our SMS delivery provider, Twilio).

5. Data Security

We implement appropriate technical and organizational security measures to protect your information. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Specific retention timelines:

  • Account data: Retained while your account is active
  • Deleted accounts: Permanently removed via cascade delete (all properties, tasks, tenants, leases, messages, and documents are deleted)
  • SMS verification codes: Automatically expire after 10 minutes
  • Password reset tokens: Expire after 1 hour
  • Team invitation tokens: Expire after 7 days
  • Audit logs: Retained for operational and compliance purposes

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Object to or restrict processing of your information
  • Data portability
  • Withdraw consent

You can exercise many of these rights directly from your Account Settings:

  • Export your data: Download a complete copy of your data from the "Data & Privacy" section in Settings
  • Delete your account: Permanently delete your account and all associated data from the "Data & Privacy" section in Settings

SMS Opt-Out Rights

If you have opted in to SMS notifications, you can opt out at any time by:

  • Reply STOP: Text STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message from us
  • Settings Page: Remove your phone number in Account Settings under "SMS Notifications"
  • Contact Us: Email customerservice@fixreminder.com to request SMS opt-out

After opting out, your phone number is immediately removed from our system and you will no longer receive SMS messages. You will receive one final confirmation message acknowledging your opt-out.

8. Cookies and Analytics

We use essential cookies to maintain your session and protect your account. We also use Google Analytics cookies to understand how visitors use our site. We do not use advertising or marketing cookies. For detailed information about the cookies we use, please see our Cookie Policy.
